Why quantity depends on the item
There is no single rule such as “one printable per guest.” Some items are individual, while others are shared by a table or displayed once for the entire event.
An invitation is usually counted per household or recipient. A menu may be counted per guest, per couple or per table. A welcome sign is normally one main piece. Favor tags depend on the number of favors.
Use your guest count intelligently
Start with your confirmed or expected guest count, then classify each printable as individual, shared, display-only or item-specific.
- Individual: invitations, place cards, favor tags.
- Shared: menus or program cards, depending on the event.
- Display-only: welcome signs, seating charts and bar signs.
- Item-specific: food labels, drink signs and table numbers.
Common party printable quantities
Invitations
Count invitations by recipient or household rather than by total guests whenever appropriate.
Menus
Decide whether each guest, couple or table receives a menu. This can dramatically change the quantity.
Favor tags
Match the number of tags to the number of favors, then keep a few extras for last-minute additions.
Table numbers
Usually one per table, plus a spare if you expect changes.
Welcome signs
One main sign is generally enough, but you may need additional directional signs for large venues.
When to print extras
Extras are useful when the item is inexpensive to reproduce and changes are possible. For personalized items, however, avoid printing a large surplus before the guest list is final.
